By role: what to set up and what to look at

Find your role below — a short setup checklist and the features that matter for it, linked to the detailed guides.

👑 Owner

Sees and can do everything: money, everyone's payroll, access control, company settings. This is the role every other one is granted from.

Do this first:
1. Connect the company and confirm the venues
2. Bind the chats — alerts, tasks, shifts
3. Invite the team, assign roles, fill in payroll cards
4. Set the venue rates

Owner-only features: the investor report, till and receipt control, role permissions, the audit template editor, shared rates across companies.

🧑‍💼 Director / Admin

The bot has two similar but different roles — pick based on how much you trust the person:

admin — a full owner equivalent (same access, including permissions and deleting the company). Granted via /invite admin.
manager — runs day-to-day operations (stock, analytics, team, quality audits) but cannot see company settings, the event log, or edit role permissions.

Manager checklist: learn to order and receive stock, fill in the quality audit, and read the P&L and markup control plus the analytics and forecasts.
⚠️ When in doubt, grant manager, not admin: raising a role later is easy, but stripping excess access has to be done by hand, item by item.

🧮 Accountant

Reads the money, does not edit operations: by default sees finance and the team, but cannot change prices, stock or suppliers.

Worth checking: P&L, break-even, markup control, the payroll calculation for a period, the write-offs report.

Not visible by default: the investor report (owner/admin only — ask the owner to forward the file) and the quality audit (can be granted manually in "Role permissions" if needed).

📦 Warehouse/stock keeper

There is no dedicated "warehouse keeper" role — pick one of two:

senior_barista — already sees stock, "Supplies" (dead stock, coverage), write-offs, suppliers and inventory reconciliation by default;
• a custom role — for a tighter fit, grant only tab_sup, tab_writeoff, tab_inv, inv_reconcile in "Role permissions", with no finance or team access. One nuance: the "📦 Supplies" screen (dead stock, coverage, stock-out) is gated by tab_today — without it a custom keeper will not see it, and with it they also see the daily dashboard including the till. If the till is too much, stick to the senior_barista screen set.

Show them: supplier orders, inventory counts, dead stock.

⭐ Senior barista

Everything a barista can do, plus: sees today's till for every venue, stock and suppliers (view only), the team list, and can reconcile inventory counts. Finance and other people's payroll are visible only if the owner adds that separately.

Worth knowing: the shift report format, placing an order. The quality audit right is off by default — ask the owner to grant audit_quality if needed.

☕ Barista

The narrowest access: their own "Me" card (shifts and pay), tasks, entering inventory counts. No visibility into finance or other venues.

The one thing to know: how to write a shift report — where, in what format, and what happens if a field is missing.
💡 Bot access and payroll are separate things: a barista can be paid even without ever using the bot. Details are in the team guide.
